What to expect when you contact Just Bex It, a NZ Construction Administrator
Pre-Onboarding Setup
We'll need access to your operating systems that apply to our scope of work previously agreed upon (eg Xero, Payroll, Job/Quoting Systems etc), shared drive and calendar. We'll be introduced to any contacts of staff we will be working with, your current workflow procedures, branding guidelines and compliance documents.
Initial Enquiry & Discovery
STEP ONE
After you contact Bex - your NZ Construction Administrator, by submitting an online or phone inquiry, we'll need to know more about what your business needs, and if we're the right fit for you. We'll send you an initial response introducing ourselves, a summary of our services that may apply to your business and then how to schedule a call or meeting.
From there we set-up a discovery call or in-person meeting so we can learn more about your business, what your pain points are and what systems you already have in place. We'll then discuss rates and what services we can offer you.
Proposal and
Agreement
STEP TWO
You've advised you'd like to proceed; this is what happens next.
We'll draft a Summary of Agreed Services document which is an agreement outlining our scope of work, start date and rates. Once signed, we can get underway.

STEP THREE

The First Week
STEP FOUR
We'll complete initial set-up tasks, review your businesses current systems and identify any immediate priorities. After the first week's tasks we'll send an email to summarise what we've completed, any issues found, and suggest any system improvements.
Ongoing Structure
STEP FIVE
We'll work alongside you in the background and communicate frequently. Every client's needs will differ, we could be working daily, weekly, fortnightly or monthly on either payroll processing, GST & PAYE filing, calendar & inbox management, invoicing and quotes, follow‑ups and reminders H&S updates, building consent documentation, month‑end admin and reporting - or something more specific.
Into the Rhythm
STEP SIX
To avoid overwhelm and ensure clarity, we will give a weekly update: What was completed + next week’s plan; send out quick messages: Urgent or same‑day requests; and provide monthly overview: Hours used, upcoming priorities.
Quarterly review
